    Collect empty cylinders

    Enter the physical empties collected. The system accepts what matches active stock and flags any excess separately for review.

    If physical count is higher than expected active stock, the extra cylinders will go to Needs attention as Excess empty, not normal stock.

    Select the vehicle, destination, and empty brands being offloaded.

    If offloaded at company, empties leave active stock. Record the refilled full gas separately using Load vehicle from company.

    Dispose Others cylinders

    Remove third-party Others cylinders from active custody after disposal/release.

    Only Others 6kg and Others 13kg empty cylinders appear here. This removes them from active stock and keeps an audit trail.

    Use this only when the stock has already arrived at, or been counted at, a store.

    Use when the company loads full cylinders directly onto a vehicle, without first receiving them into a store.

    Road / Walk-in Retailer - On-route Sale. Tick empty cylinders only when they are physically received in this sale.

    Pending exchange

    Use this only when the customer gives an empty now, but full gas will be delivered later. This adds empty stock only; it does not add full gas.

    The empty can later be offloaded normally. The pending customer delivery stays open until full gas is actually delivered.

    Fulfil pending exchange

    Deliver full gas owed to customers from actual vehicle stock.

    Reconcile vehicle

    Enter the physical counts found on the vehicle.

    Close day is for branch/store stock only. Use Reconcile vehicle for vehicle stock.

    Manager approvals

    Review close-of-day variances. Approval adjusts system stock to the approved physical count; rejection leaves stock unchanged.

    Administrator reset

    Sign in with the private administrator account. This permanently deletes shared stock and activity records.

    Select your name and enter your private PIN. This protects traceability.

    Report defective cylinders

    Defective cylinders are removed from usable stock and recorded under Needs attention.

    Offload defective cylinders

    Move defective cylinders from vehicle to company/store without adding them to usable stock.

    Defective full gas remains a replacement/claim item. Defective empties remain under Needs attention until refilled or returned.

    Use only when cylinders were marked defective by mistake. This returns them to usable stock or vehicle transit with an audit trail.

    Start vehicle day

    Record mileage before the vehicle leaves. One driver and one vehicle can only have one open day at a time.

    Record fuel bought while the vehicle is already on route.
